We are now working with EasyLife 365 Collaboration at the Ambit Group. You can find out why we opted for it and what it has brought us in this article.
EasyLife 365 is an innovative add-on for Microsoft collaboration tools such as Teams and SharePoint. It helps companies to sustainably track their data governance while maintaining a clear overview of their data. With EasyLife 365, the existing Microsoft functions can be extended and thus enable effective lifecycle management of collaboration tools.

The Ambit Group has introduced EasyLife 365 and thus lifecycle management for Teams, Outlook, SharePoint, OneDrive, guest accounts and Viva Engage (formerly Yammer) and Microsoft Groups. This greatly reduces the administrative workload for IT, facilitates collaboration, keeps the virtual workplace clean and increases security.
At the Ambit Group, we work intensively with our customers and partners on projects. We mainly use Microsoft Teams for this collaboration. This results in a correspondingly large number of collaboration resources such as Teams, SharePoint sites and guest accounts.
With the increase in collaboration resources, the Ambit Group's internal administrative workload increased in order to comply with governance and maintain a structured overview. Due to the increasing workload, it soon became clear that a standardised, automated solution was needed.
Microsoft provides a number of options for managing the lifecycle of these resources. At the moment, however, these are insufficient for a holistic governance solution.
For this reason, we looked for a comprehensive solution and ultimately decided in favour of EasyLife365 Collaboration.
Microsoft offers certain governance functions in their product range, but they do not offer a complete package. We therefore looked around for third-party tools and came across EasyLife 365. With the Teams app and coverage of the Microsoft 365 suite, EasyLife 365 fits perfectly into our system landscape.
After contacting the EasyLife 365 team, the tenant was set up for us during a one-hour video conference. The most important functions, operation and structure were explained to us using an example.
After the initial setup, we decided internally to check and clean up existing resources manually. This was to ensure a clean basis for the implementation. Although this clean-up meant additional work in terms of time, it subsequently reduced the effort involved in the rollout and the resources to be checked afterwards.
The various resources (Teams, SharePoint, guest users) then required clear guidelines to accompany and manage the lifecycle of the resources.
The owners of the resources are now asked to check access at regular intervals. If resources are not used, they are automatically archived.
We have created appropriate templates to ensure a standardised procedure for various use cases. These allow resources to be created automatically and always in the same way (e.g. for project teams).
During the rollout of the pilot phase, templates and guidelines were tested on individual resources. Thanks to the simple user interface and good documentation, the rollout took no longer than a month.
EasyLife 365 has significantly reduced the time needed to create and manage teams.
On the one hand, it provides a compact overview of teams for which you are the owner and enables you to quickly manage, archive and delete resources.
Resources such as teams for projects no longer have to be created and set up manually, which is time-consuming, but can be automatically provisioned with the required add-ons such as OneNote or similar thanks to the templates.
Thanks to EasyLife 365 Collaboration, resources are now automatically managed and monitored throughout their lifecycle.
Manual intervention is only required if a resource no longer complies with the guidelines.
However, manual work has been reduced to a minimum, as the responsible persons are automatically notified and can take the appropriate measures with just a few clicks via the Teams app.
The defined guidelines ensure that the collaboration resources comply with governance at all times.
